POSITION DESCRIPTION:

The Human Resources Associate will provide support to all members of the HR, Volunteer and OHSW departments, assist in the efficient operation of the department, act as a liaison between other departments requiring support, maintain records, run reports and analyze data. This role is the key liaison and support to the Joint Health and Safety Committee and Emergency Planning Committee; and supports policy work by ensuring managers are aware of policies in need of review, editing policies and uploading policies to be published.

In addition, the Human Resources Associate will support the Human Resources team by providing full-cycle recruitment services to the Hospital. This will include job postings, candidate sourcing, external advertising, shortlisting, interview facilitation, reference checking, offer letters, onboarding and other recruitment related activities. This position will ensure that all recruitment is completed in a timely manner, in alignment with appropriate legislation and internal collective agreements while utilizing an up-to-date online Applicant Tracking System (Talent Pool Builder).

 

HOURS:

The successful candidate will work Monday – Friday (37.5 hours weekly) with a willingness to adjust their schedule to meet the needs of the organization.

 

PRIMARY RESPONSIBILITIES:

  • Facilitate review, edits, approvals and uploading of HR/OHSW, Emergency Codes & Safety Policies and associated attachments
  • Support the JHSC in the scheduling of meetings, agendas, minutes taking, organizing workplace inspections and the maintenance of JHSC required documentation and MOL reports.
  • Create, edit and maintain SharePoint Team Sites by uploading appropriate documents, including Ministry of Labour orders and compliance reports, maintaining membership lists (i.e. JHSC, unions).
  • Coordinate and maintain attendance records for Public Service Health & Safety Association (PSHSA) Safety education for leaders and CRNs and ensure compliance with Occupational Health and Safety Act training requirements.
  • Ensure terms of reference for committees are updated as required (i.e. JHSC, Emergency Planning Committee
  • Complete Kronos timecard approval, coding and adjustments at VP’s request
  • Actively recruits for vacancies and fills vacancies in accordance with relevant legislation and collective agreements.
  • Creates job postings and tracks vacancies through Talent Pool Builder, STEGH’s Applicant Tracking System (ATS).
  • Screen and shortlist applicants and review with hiring managers and/or Human Resources Consultants
  • Administrator duties within Talent Pool Builder including user and process configuration, system troubleshooting, customizations and upgrades.
  • Maintain and analyze statistical data as required for the support of recruitment activities including recruitment surveys, staffing reports, etc.
  • Coordinates and assists with candidate interviews, completes references and pre-employment testing where required.
  • Prepares onboarding packages, offers of employment and facilitates pre-employment appointments and conducts onboarding meetings with new employees.
  • Assist the HR Team as required

 

SKILLS & QUALIFICATIONS REQUIRED:

  • Post-secondary degree/diploma in Human Resources or equivalent combination of education and experience
  • Minimum three (3) to five (5) years’ work experience in Recruitment, Human Resources with preference to those with relevant healthcare experience.
  • Demonstrated expertise in Applicant Tracking Systems (Talent Pool Builder preferred) including administration, user and process configuration, system troubleshooting and customization.
  • Experience and extensive knowledge in all areas of HR practices with particular strengths in recruitment and workforce planning
  • Thorough knowledge of relevant legislation including the Employment Standards Act, Human Rights, AODA, Occupational Health and Safety Act and Collective Bargaining process
  • Ability to demonstrate a high degree of confidentiality, discretion, tact and an exceptional level of professionalism.
  • Lean Yellow Belt Certification preferred
  • Advanced knowledge with HRIS Systems, Microsoft Office Software Programs including Word, Excel, PowerPoint, SharePoint and Outlook.
  • Strong communication and interpersonal skills with ability to positively influence others and develop trusting internal and external relationships
  • Advanced ability to establish rapport quickly and collaborate effectively
  • Excellent organizational skills and ability to work in a fast paced environment

Successful candidates must provide evidence of a fully completed COVID-19 vaccination status prior to your first day of work.
