POSITION DESCRIPTION:

The St. Thomas Elgin General Hospital Foundation supports the delivery of healthcare excellence for individuals and families who live primarily within St. Thomas and Elgin County.

We are about to embark upon an $8 million Diagnostic Imaging fundraising campaign. The addition of magnetic resonance at STEGH will ensure our Hospital’s imaging department will be elevated to tertiary level capabilities, and patients and their families won’t have to travel beyond Elgin County to access diagnostic imaging services.

This is an exciting time to join the STEGH Foundation, as the Campaign Coordinator will help engage volunteers and donors to help us reach our fundraising goal within the next three years. This position will support the campaign team to ensure all involved are supported and working efficiently.

Our ideal candidate will have a strong administration background, be organized with excellent attention to detail, and have experience supporting senior leadership and volunteers in a fundraising environment.
 
RESPONSIBILITIES INCLUDE:

  • Proactively input and track information in customer relationship management (CRM) to ensure records are up to date;
  • Proactively schedule and coordinate donor meetings for the Foundation’s Director of Development, CEO, and senior volunteers, accurately providing clear and complete meeting materials including briefing notes and presentation preparation;
  • Coordinate activities supporting the campaign pipeline, donor and prospect activity;
  • Participate in planning meetings to review portfolios and opportunities for prospects and donors;
  • Regularly update our campaign gift chart;
  • Schedule and coordinate meetings with key campaign volunteers and committee members (sending meeting invitations, preparing agendas, drafting minutes and drafting supporting documentation);
  • Draft emails, letters, and other communication items to support campaign volunteers and committee  members in their efforts to engage prospects;
  • Facilitate the sharing of resources and information between all teams associated with the campaign;
  • Provide general administrative support to the Director of Development and CEO related to the campaign, including campaign cabinet and committee volunteers; and
  • Coordinate and organize donor and cultivation events.

    SKILLS & QUALIFICATIONS:
  • Post-Secondary education in a related field and 3-5+ years previous related administrative support experience or an equivalent combination of education and experience;
  • Experience providing administrative support to executive level leadership teams, including senior fundraising volunteers;
  • A responsive customer service orientation and experience interacting with volunteers;
  • Some exposure to the philanthropic or non-profit sector would be an asset;
  • Expert knowledge of Microsoft office (Word, Excel, PowerPoint, Outlook);
  • Experience working with CRM (Raiser’s Edge an asset);
  • Superior verbal and written communication skills with an ability to interact with all levels of staff, volunteers, consultants and donors/prospects, while projecting an energetic, friendly, ‘can-do’ attitude;
  • Advanced appreciation of administrative standards including document formatting and quality, correspondence style, and the appearance of all materials prepared for external use;
  • Excellent organizational and time-management skills with diligent attention to detail and the ability to produce accurate work efficiently;
  • Ability to multi-task, prioritize and follow-through to effectively manage workflow and continuously improve the efficiency;                                                                                           
  • Must be able to thrive in a deadline-driven environment under minimal supervision and handle confidential/highly sensitive information;
  • Some flexibility of hours required, with the potential for some evening and weekend work (up to 10%).
